Write down a specific task you want to improve. “Summarize meeting notes into assigned actions” is easier to evaluate than “be more productive.”
02 — Measure the current process
Record how long the task takes today, what a successful result looks like and where errors happen. This becomes your baseline.
03 — Build a small shortlist
Choose two or three plausible options. Check relevant features, language support, integrations, privacy controls, export options and pricing.
04 — Run the same real-world test
Use representative inputs and comparable instructions. Evaluate quality, consistency, editing time and the ease of correcting mistakes. Avoid exposing sensitive information without appropriate protections.
05 — Count the total cost
Subscription fees are only one part of the cost. Include usage limits, training, setup, manual review and the possibility of switching tools later.
06 — Decide, then revisit
Choose the option that delivers a meaningful improvement, or keep your current process if none does. Review the result after a few weeks.
